Privacy: what happens to what you tell us
You’ve written us something — a question, a story, a first name and an email address. Here’s exactly where that goes, who actually sees it, and how to change your mind later. No legal boilerplate; this is the same answer we’d give a friend in the Thursday group who asked.

What we collect, and why
Five forms on this site collect information, and each one only asks for what it needs to do its job:
- Contact (name, email, message) — so we can reply to you.
- Newsletter sign-up (email — on the homepage, the events page, and the newsletter page) — so we can send the newsletter you asked for.
- Online support-group registration (first name and email, both required) — so we can send you the meeting link and reminders.
- Hope Core story (name, email, your story) — so a volunteer can read it and reach out to you before anything is published.
- Sponsor inquiry (email, plus your business details) — so we can answer your business question.
That’s it. We don’t ask for anything beyond what’s shown on the form in front of you.
Where it’s stored, and who can see it
When you submit a form, a small program (a Cloudflare Worker) saves it into a Cloudflare KV store — a private database in our Cloudflare account, not a public spreadsheet, not something search engines can find. A copy is also emailed to the site’s founder at a Little Luminaries Therapy Services address, through Cloudflare’s own email system.
Who sees it. Taylor, the parent who runs the site, and the small volunteer team helping her with it. Nobody else.
How long we keep it. Submitted forms stay in storage until you ask us to delete them, or until we clear out old ones ourselves. We don’t currently auto-delete anything, though we plan to periodically review and delete stale contact submissions rather than let them pile up forever.
If you sign up for email. Once we’ve connected our mailing-list service (MailerLite), newsletter and support-group sign-ups will also be added to a MailerLite list so we can actually send you mail. You can unsubscribe from any email we send, any time.
Tracking. None. No analytics or advertising script runs in your browser on this site. Cloudflare, who hosts the site, gives us aggregate numbers — how many visits, which countries — that can’t be traced back to you.
Meetings. Once they begin, the online support group meets on Microsoft Teams. Teams’ own privacy terms apply while you’re on a call; we don’t record meetings.
Payments. We don’t collect any today. If Village Hall’s pay-what-you-can registration or a supporter payment option opens up, it will run through a real payment processor (we’re planning to use Stripe), and we’ll update this page before we ever ask you for a card number.
Your device. A few pages remember your own choices — your Start Here checklist and which pathway you picked, or a banner you dismissed — but only on your own device, in your own browser. We never see that, and there are no advertising cookies here.
Hope Core stories, specifically
Every story is read by a parent volunteer before anything happens with it. Nothing is published without the specific permissions the form asks for — publishing the text on this page, reusing it in the newsletter, sharing a photo, or sharing a short video, each its own checkbox — and the display name you choose: your first name, initials, or a made-up name. You’re also welcome to send a story just to talk with us, with every box left unchecked. Nothing gets published, and that’s a completely normal reason to write in.
If we do publish something, we may lightly edit it for length or clarity, and we’ll confirm the final wording with you first. A story about a child is only published with that child’s parent or guardian’s permission, and we leave out full names, schools, and other identifying details unless you specifically tell us it’s fine to include them.
A note about children using these forms
These forms are meant for adults — parents, caregivers, and professionals. Children shouldn’t be submitting their own information here. If we learn that a child filled one out, we delete it.
How we handle what you tell us
Messages to this site often include health, disability, school, and family details that are genuinely private. We treat all of it as confidential, we don’t share it with anyone outside the small volunteer team, and we never sell or rent it to anyone — not to advertisers, not to anyone. The one exception is the Village Directory and small-business listings, which are public information about organizations, not personal information about your family.
Your choices
Email hello@ourspecialvillagetn.com any time to ask what we hold about you, correct it, delete it, or take back a permission you gave us — including a Hope Core publishing permission, before or after a story goes up. Tell us to take it down and we will. We answer within a reasonable time, usually a matter of days.
What we don’t do
- We don’t sell your information, to anyone, ever.
- We don’t run advertising trackers on this site.
- We don’t publish anything from a form — text, photo, or video — without the specific permission you gave us for it.
